Planner playbook
Contact your coordinator at least two weeks ahead to secure providers familiar with your theme and audience languages.
Forward slides, videos, scripts, and speeches as early as possible so providers can prepare glossaries and terminology.
Keep printed materials, water, breakroom access, and restroom access available for your accessibility team.
Providers arrive 15–30 minutes early. Pre-clear parking and security to keep things running smoothly.
Coach presenters to enunciate and use visual language. Avoid ambiguous references like 'over there'.
Ensure interpreters have clear lighting and sightlines. Test spotlighting, audio feeds, and projection before doors.
Allow interpreters to rotate every 15–30 minutes — preferably during natural breaks in the agenda.
For videos or audio clips, confirm captions are enabled or loop in your coordinator to add them.
