Professional Conference Interpreting & Accessibility

Every attendee deserves the full experience — not a highlight reel.

At Inclusive Communication Services, we understand the time and effort behind orchestrating conferences, conventions, and workshops. When speakers, technology, seating, and an eager audience all come together, everything looks picture-perfect.

Yet a crucial piece of event preparation is often overlooked — accessibility accommodations for Deaf, DeafBlind, hard-of-hearing, and multilingual attendees.

Whether your attendees speak Spanish, use American Sign Language (ASL), or rely on live captions, our team has you covered. When someone registers for your event, they should be able to access every moment with confidence.

Diverse audiences, inclusive events

Built for conferences, seminars, expos, conventions & workshops

Events attract diverse audiences — Deaf, DeafBlind, hard-of-hearing, and multilingual individuals — both in-person and remote via television, phone, or computer.

Only a qualified team of accessibility professionals can ensure equal access and inclusion for this diverse group.

ICS ensures every attendee can fully and confidently participate in all event moments — networking, Q&A, interviews, and meet-and-greets.

Tips for an exceptionally inclusive event

  1. 01

    Service Requests

Contact your coordinator at least two weeks ahead to secure providers familiar with your theme and audience languages.

  2. 02

    Material Sharing

Forward slides, videos, scripts, and speeches as early as possible so providers can prepare glossaries and terminology.

  3. 03

    Event-Day Essentials

Keep printed materials, water, breakroom access, and restroom access available for your accessibility team.

  4. 04

    Arrivals & Clearances

Providers arrive 15–30 minutes early. Pre-clear parking and security to keep things running smoothly.

  5. 05

    Clear Communication

Coach presenters to enunciate and use visual language. Avoid ambiguous references like 'over there'.

  6. 06

    Strategic Positioning

Ensure interpreters have clear lighting and sightlines. Test spotlighting, audio feeds, and projection before doors.

  7. 07

    Scheduled Rotation

Allow interpreters to rotate every 15–30 minutes — preferably during natural breaks in the agenda.

  8. 08

    Media Captions

For videos or audio clips, confirm captions are enabled or loop in your coordinator to add them.

  9. 09

    Open Dialogue

Call your coordinator with questions anytime — they're standing by before, during, and after the event.
